PRESENTER ADVISEMENT
All accepted presenters will receive complimentary registration for general conference sessions unless otherwise discussed. Additional details will be provided upon notification of acceptance. Complimentary registration does not automatically extend to co presenters whose programs are members of the Association.
At a minimum, SCSHSA will provide each session room with a projector and screen. Presenters are responsible for bringing their own laptop and any additional equipment needed to support their presentation, including speakers if audio is required. Any audio visual or duplication services not approved in writing by SCSHSA are the responsibility of the presenter. Due to cost considerations, additional equipment and duplication services are not typically provided.
Applicants are expected to carefully review and follow all instructions included in the proposal submission form. Once a proposal is accepted, substitutions or changes to presenters or session content cannot be accommodated. SCSHSA reserves the right to edit session titles and descriptions for clarity and consistency while maintaining the original intent and content of the presentation.
A maximum of two workshop proposals per presenter may be submitted, and must be sent as separate applications. All presentations must avoid selling a product. (Vendor tables are available for a fee) We accept submissions yearlong for all events. We encourage you to submit early as spaces fill quickly.
Applications received after the deadline will be considered if vacancies exist or placed on a waiting list if no space is available.
SESSION FORMAT & LOGISTICS
Educational sessions are scheduled for 75 minutes. Presenters should be prepared to facilitate sessions for audiences ranging from approximately 45 to 100 participants. Assigned meeting room details, including room size, will be communicated at least 30 days prior to the scheduled session.
Presenters are responsible for providing any handouts or materials needed for their session. On site copying services are not typically available.
REVIEW & SELECTION PROCESS
Proposal selections will be based on adherence to submission requirements, overall quality, relevance to the conference audience, presenter experience, and the session’s potential contribution to the conference goals. The application form outlines all required components for a complete submission. Only fully completed applications will be reviewed and considered.
ACCEPTANCE NOTIFICATION & NEXT STEPS
Once a proposal is accepted, the lead presenter will receive an official acceptance notification along with presenter materials that include registration instructions and conference logistics. During the registration process, the lead presenter is responsible for submitting complete and accurate information for themselves and all co-presenters exactly as it should appear in the conference platform.
All official communication from South Carolina State Head Start Association (SCSHSA) will be directed to the lead presenter. It is the responsibility of the lead presenter to share all relevant conference and presentation information with their co-presenters.
Accepted lead presenters will receive complimentary conference registration. Co-presenters are required to register and pay applicable conference registration fees.
